Lesson 20: Handling Questions & Answers –

Definition Business presentations include verbal feedback (questions, comments, objections). Handling Q&A well boosts credibility and audience trust.

4 Steps to Handle Q&A Effectively 1. Anticipating o Predict possible questions in advance. o Sources:

• Previous experiences

  • Common concerns (Time, Cost, Impact) • Planning insights • Input from experienced associates

2. Answering o Write answers to all anticipated questions. o Prepare:

• Summary answer (short version)

• Expanded answer (detailed version) o Answers must match audience needs and reinforce key message. 3. Revising o Modify content to answer common questions before they're asked. o Use rhetorical questions to integrate likely objections. o Do NOT revise content if:

• It breaks message flow

• Time is short

• It raises unnecessary controversy 4. Rehearsing o Simulate Q&A with associates. o Helps build confidence and identify weak or vague answers.

Types of Verbal Feedback Conceptual Thinkers:

  • Ask big-picture questions (e.g. long-term impact). Concrete Thinkers:
  • Ask detail-based questions (e.g. cost per unit).

When to Invite Questions Before the Presentation Involve audience by asking: “What are your concerns?” Use flip chart to note down their points. During the Presentation Only in interactive settings (e.g. training sessions). Invite feedback after key points, not randomly. Use transition statements to resume smoothly. Risk: May interrupt flow or start debate—must be controlled. End of the Presentation Most formal and safest method. Inform audience at the start that Q&A will follow. Use open-ended question: “What questions do you have?” Pause for 30 seconds to let audience think. If no response, volunteer a question yourself. Never end presentation with Q&A

Conclude with a story, summary, or key message.

Handling Difficult Situations If audience debates, stop it respectfully:

“Both points are valid; let’s move to the next section.” Maintain control, calm tone, and confidence.

Lesson 21: Responding to Questions & Answers

Purpose & Importance of Q/A Session Builds clarity and understanding Engages audience and shows respect Highlights interest and concerns of audience Strengthens credibility of speaker Effective Response Techniques Listen carefully before replying Stay calm and composed even during tough questions Focus on the question – don’t stray off-topic Affirmation Techniques Appreciate questions: “That’s a good point”, “Thanks for asking”
